Summary:
The Coordinator position reports to the President and will work as a integral team member to all sales, engineering and production departments to ensure efficient operations throughout the construction project from preliminary pricing to finish and closeout, and provide consistent excellent customer service to clients and trade partners.
Essential Duties and
Responsibilities:
Develop and maintain an installation project management board with timelines.
Develop and provide a project schedule to be shared with customers.
Prepare all installation project binders to include scope of work, drawings, project sign offs, change order documents, travel, emergency information, etc.
with a strong attention to detail and accuracy.
Adapt quickly to changing priorities and shifting timelines.
Identify key project raw materials and specific hardware requirements following an award of a contract.
Work with procurement to order necessary materials to meet delivery dates.
Develop install pricing for the sales team on new projects with SVP specific templates.
Assist with the development of change order pricing as indicated.
Communicate with customers regarding upcoming installations or action items related to their project.
Work with accounting to input actual project costs and compare with the pre-project estimates to determine the profitability of completed projects.
Perform a pre-installation reviw of projects and production drawings with the sales and engineering team and installers to ensure all parties have a clear understanding of each project and its timelines.
Confirm that all products are manufactured to the drawings and complete prior to shipping.
Obtain pricing and book all equipment needed for each project/jobsite, including forklifts, gators, scissor lifts, etc.
Schedule and collaborate with any subcontractors required for a project.
Verify subcontractor insurance certificates meet our minimum requirements.
Manage installation tools to include; project specific equipment and hardware inventory prior to install.
Ensure tool boxes are packed and complete for each project in a timely manner.
Confirm production has full size copies of drawings and included with each shipment.
Confirm a tracking device has been placed with each shipment for installation.
Price and book travel for installers to meet the requirements of the project and its budget.
Travel (as necessary) for field measures of new projects or to photograph completed high profile projects.
Coordinate delivery and installation needs and confirm scheduling with customers:
Schedule delivery of all products and materials with an appropriate offloading timeline to arrive ahead of the installation team.
Discuss and plan the staging of the product at the jobsite and review field access.
Schedule equipment delivery and pick up as necessary (forklift, utility vehicle, dumpsters, etc If customer has opted to supply equipment, coordinate the type of equipment needed scheduling timelines.
Schedule and coordinate the pickup of our toolbox at the completion of a project.
Ensure as-builts (installation modifications) are reviewed with Engineering and revisions are noted and attached to the sales order.
Additional areas of responsibility:
Obtain/Renew OSHA 30 Hour Certification.
Qualifications:
High level of organization Strong attention to detail and data accuracy Strong communications skills Proficient in MS Work, Excel, Outlook and Google Docs Excellent time management skills, completion of tasks and deadlines Previous experience in construction or manufacturing desired Proficient in Spanish and English Job Type:
