This position involves both administrative and project-related duties, and we are looking for a professional who will go the extra mile by facilitating meetings and travel, drafting correspondence and written materials, is familiar with proposals and proposal writing and who will take ownership of additional assignments.
It requires outstanding interpersonal skills, a team-oriented personality, and the ability to perform all duties in a highly responsible and confidential nature for the executive leadership team.
Typical Job
Responsibilities:
Draft and handle highly confidential and sensitive materials, correspondence, create letters, drafts, memos, edit documents, proofread presentations and written materials, and handle all other communication needs Maintain executive calendar, schedule meetings, conferences, special functions, appointments etc.
and prepare agendas, Arrange and coordinate complex domestic travel schedules and reservations.
Manage travel plans to ensure they are aligned with meeting requirements.
When a change of plans occurs, ensure the executives are rerouted accordingly.
Provide backup support for RFP responses and document packaging; review vendor email folder for new proposal requests for energy services.
Work with outside vendors, as well as online supplier diversity vendors; maintain vendor lists, Outlook contacts and other information.
Maintain all data associated with FCI certifications, vendor and specialty account passwords and corporate identification numbers.
Screen calls for Pres.
/CEO, relay messages and respond to inquiries that do not require the Pres.
/CEO's involvement Pick up, sort, and distribute office mail, read executive mail and faxed correspondence as needed Participate in facilitating group meetings by sending out meeting announcements using Microsoft Outlook, meet and greet all Business-related visitors, arrange refreshments and maintain meeting room reservations.
Complete and review expense reports, perform filing and other general clerical office duties.
Act as a liaison with other departments; assist Management or Supervisor as required for overall Administrative Department needs.
Order and maintain office supplies for executive management and staff.
Knowledge of utilities, construction or energy business a plus.
Complete special projects and perform other job-related duties as directed by FCI.
This Position Requires:
Minimum of 7 years of Administrative Assistant experience with at least 4 years in an Executive Assistant role in fast paced environment.
Knowledge of the electric utility industry is a Plus Bachelor's degree is preferred; AA degree or High school diploma plus 7 years administrative experience is required.
Excellent verbal and written communication skills; ability to draft, edit and proofread with an awareness of deadlines and the ability to interact with a diverse customer base.

Years of Related Professional
Experience:
3 years supporting an executive leader; 3-7 years of strong administrative experience.
Requires flexibility; excellent typing and organizational skills with extreme attention to detail and the ability to prioritize effectively.
Ability to display discretion with sensitive information and maintain high level of confidential information.
Ability to successfully communicate with all levels of management.
Must understand and have working knowledge of travel arrangement protocols.
Must be fluent and proficient in English; Bilingual language proficiency is not necessary, but is a plus.
Must be able to type 45-55 words per minute accurately.
Time management skills are essential and leadership ability is a plus.
Willing and able to work additional or flexible hours when needed.
Bend, lift, open and move product and related office items varying in weight from 1 to 25lbs, depending on need.
Position Details:
This position is a full-time position The work hours will be from 8am to 5pm, Monday through Friday or a flex schedule as assigned.
